The True Cost of Data Loss
Consider this scenario: A ransomware attack hits your business on Friday afternoon. All your files—customer records, financial data, years of work—are encrypted. Without proper backups, what happens?
For 60% of small businesses that experience significant data loss, the answer is grim: they close within six months.
The 3-2-1 Backup Rule
The gold standard for backup strategy is the 3-2-1 rule:
This ensures you're protected against any single point of failure—hardware failure, fire, theft, or ransomware.
Types of Backups
Full Backup
A complete copy of all data. Pros: Simple to restore. Cons: Time-consuming and storage-intensive.
Incremental Backup
Only backs up changes since the last backup. Pros: Fast and storage-efficient. Cons: Slower to restore (requires all increments).
Differential Backup
Backs up all changes since the last full backup. Pros: Faster to restore than incremental. Cons: Uses more storage than incremental.
**Our Recommendation**: A hybrid approach—weekly full backups with daily incremental backups.
Is your data really protected?
Most small businesses can't recover from data loss. We can fix that.
Backup Storage Options
Local Storage (NAS/External Drives)
**Pros**: Fast backup and restore, no internet required
**Cons**: Vulnerable to local disasters (fire, theft)
**Use for**: First-line backup, quick restores
Cloud Backup
**Pros**: Offsite protection, accessible anywhere
**Cons**: Dependent on internet, ongoing costs
**Use for**: Offsite copy, disaster recovery
Hybrid Approach
Combines local and cloud backups for the best of both worlds. This is what we recommend for most businesses.
What to Backup
At minimum, ensure you're backing up:
Testing Your Backups
A backup is only good if it works when you need it. We've seen too many businesses discover their backups were corrupted or incomplete during an actual disaster.
**Testing best practices**:
Recovery Time and Recovery Point
Two critical metrics to understand:
**Recovery Time Objective (RTO)**: How quickly do you need to be back up and running?
**Recovery Point Objective (RPO)**: How much data can you afford to lose? (If you backup daily, you could lose up to 24 hours of data)
For mission-critical systems, you may need real-time replication with near-zero RPO.
Common Backup Mistakes
1. Not Testing Restores
Backups seem to work until you need them. Test regularly.
2. Backing Up to the Same Physical Location
Local-only backups don't protect against fire, flood, or theft.
3. Not Encrypting Backups
Backup data needs the same protection as live data.
4. No Documentation
If you're hit by a disaster, you need clear procedures for recovery.
5. Ignoring Retention Policies
You may need to restore files from months ago. Plan retention accordingly.
Build Your Backup Strategy
A proper backup strategy requires:
1. Identifying critical data and systems
2. Determining RTO and RPO for each
3. Selecting appropriate backup solutions
4. Implementing and automating backups
5. Testing regularly
6. Documenting procedures
This is what we do for our managed backup clients. We handle everything—from initial setup to ongoing monitoring and testing—so you never have to worry about data loss.
